10 Business Processes to Assess for AI and Automation

Ten everyday sales, service, operations, document, finance and reporting processes to examine for AI and automation opportunities.

Most businesses already have processes where information is copied, chased, summarised or checked by hand. These are sensible places to look for improvement in existing work.

Use the examples below as prompts for investigation. Start by observing the current work and the exceptions people handle, then consider which improvements call for process changes, automation or AI.

Ten places to look

  1. Sales enquiry intake. How are incoming leads captured, qualified and assigned? Check whether good enquiries wait because details are incomplete or ownership is unclear.
  2. Proposal and quotation preparation. Identify repeated searches for approved prices, terms, product details and previous material. A controlled drafting flow may reduce preparation time while keeping commercial approval with the team.
  3. Customer-service triage. Review how enquiries are classified, routed and escalated. Consistent rules may solve much of the routing work; varied messages may call for interpretation with human oversight.
  4. Customer response preparation. Look at recurring questions that require staff to find policy, order or service information. Reliable source material and a final check matter more than a fast draft alone.
  5. Order and fulfilment handoffs. Trace how sales, stock, delivery and service teams pass information. Missing fields and unclear exceptions can create delays that process redesign or workflow automation may address.
  6. Scheduling and follow-up. Examine reminders, appointment coordination and outstanding actions. These often follow clear rules and can be useful automation candidates.
  7. Document intake and extraction. Consider invoices, forms, contracts or service records arriving in different formats. The opportunity is to make relevant information easier to capture, validate and route.
  8. Document review and comparison. Look for repeated checks against policies, terms or required fields. Define which differences are material and who reviews any suggested finding.
  9. Finance and administrative exceptions. Check where expenses, invoices or reconciliations stall. Clear approval rules and exception handling can improve visibility without weakening controls.
  10. Management reporting. Trace how information from several systems becomes a weekly or monthly view. Better data definitions and a repeatable reporting routine may be the most valuable first move.

Turn a list into a useful shortlist

For each process, ask how often it runs, how much staff time it absorbs, what delays or errors cost, and whether the steps are repeatable. Then check the quality of inputs, system access, practical human review and willingness of the team to adopt a change.

Select one or two candidates for a closer look. Map the current steps, including exceptions. Define an outcome worth measuring and choose the simplest approach that can deliver it. That could be better process discipline, conventional automation, targeted AI or a combination.
